1. Who We Are
Irish Tax Mate ("we", "us", "our") is the data controller responsible for the personal data described in this notice. We provide tax return preparation, tax refund review, and related services to individuals in Ireland.

This notice applies to our website, our calculators, our chat widget, our onboarding form, and any tax return questionnaire we send you after you engage our services. It should be read together with our Terms & Conditions and our Cookie Policy.
2. The Data We Collect
Depending on how you interact with us, we may collect:
- Contact details: first name, last name, email address, phone number.
- Identity details: nationality, date of birth, PPS Number.
- Engagement details: the message you send us through our chat widget, your typed signature and confirmation that you accept our Terms & Conditions and authorise us to act as your Revenue agent, and your marketing preference.
- Tax return data: once you engage our Tax Return or Tax Back service and complete our questionnaire, we collect the information needed to prepare your return or claim — for example your occupation, marital status, dependants, sources of income (employment, social welfare, rental, self-employment, dividends, interest, foreign income) and amounts, expenses that may qualify for relief (rent, mortgage interest, tuition, medical and dental expenses, nursing home fees, pension contributions), and whether you have sold, transferred, received, or inherited assets.
- Payment-related data: the fee agreed, any discount code applied, and confirmation of payment status. We do not store your full card details — these are handled directly by our payment provider.
- Technical data: standard information collected automatically when you visit our website, such as your browser type and general location, and cookie identifiers — see our Cookie Policy for full detail.
We do not knowingly collect data from anyone under 18. Our services and our website are intended for adults.
3. How We Collect It
We collect this data directly from you, through:
- The "Get Started" form on our website;
- The short form on our homepage;
- Our chat widget;
- The tax return questionnaire we send you by email once you've engaged our services and authorised us as your Revenue agent;
- Direct correspondence with you (email or phone).
We do not buy personal data from third parties or data brokers.
4. Why We Use Your Data, and Our Legal Basis for Doing So

We only use your PPS Number for the tax matters you've engaged us for and where the law requires or permits us to do so — never for any other purpose.
5. Who We Share Your Data With
We share your data with:
- Revenue Commissioners — where you've authorised us to act as your tax agent, to submit returns and claims and correspond on your behalf.
- Service providers who help us run our business — for example, the cloud-based tools we use to manage client records and communications (including Google Workspace), and our payment provider, who process data on our instructions and are not permitted to use it for their own purposes.
- Advertising and analytics platforms — where you've consented to marketing or analytics cookies (see our Cookie Policy), we use Google Analytics, Google Ads, and Meta (Facebook/Instagram) advertising tools to understand site usage and measure whether our advertising is working. These platforms may process limited technical data (such as cookie identifiers) as independent controllers under their own privacy policies.
- Professional advisers, where necessary — for example, if we need to obtain legal or accountancy advice relating to your matter.
- Regulators and authorities, where we are legally required to disclose information — for example, under anti-money-laundering law, or in response to a valid court order or statutory request.
We do not sell your personal data, and we do not share it with third parties for their own marketing purposes.
6. International Data Transfers
Some of the tools we use to run our business (such as our email and document tools) are provided by companies based outside Ireland, including in the United States. Where this involves a transfer of your data outside the European Economic Area, we only use providers that offer an adequate level of protection — for example through the EU-US Data Privacy Framework, or standard contractual clauses approved by the European Commission. Contact us if you'd like more detail on the specific safeguard used for a given provider.
7. Data Security
We limit access to your personal data to the people on our team who need it to deliver your service, and we require any third party who processes data on our behalf to protect it to a comparable standard and use it only for the purposes we've instructed. Given the sensitivity of information like your PPS Number, we take particular care with how it's stored and who can access it internally.
If a data breach occurs that's likely to affect your rights, we will notify you and the relevant authority (the Irish Data Protection Commission) as required by law.
8. How Long We Keep Your Data
We keep personal data only as long as necessary for the purpose it was collected for, including to meet our own legal obligations:
- Tax return and engagement records: generally retained for a minimum of 6 years, in line with Revenue's own record-keeping requirements for tax matters.
- Client identification and due-diligence records: retained for a minimum of 5 years after our engagement with you ends, as required under Irish anti-money-laundering law.
- Marketing preferences: kept until you withdraw consent, after which we retain a record that you opted out, to make sure we don't contact you again by mistake.
- Enquiries that don't lead to an engagement (for example, if you contact us but never become a client): kept for a limited period, then deleted, unless you ask us to delete them sooner.
Where we no longer need to identify you personally, we will anonymise or delete your data, subject to the retention periods above.
9. Your Rights
Under GDPR, you have the right to:
- Access the personal data we hold about you;
- Correct inaccurate or incomplete data;
- Erasure of your data, where we don't have a legal reason to keep it (this doesn't override the retention periods above, where they apply);
- Restrict how we use your data in certain circumstances;
- Object to processing based on our legitimate interest, or to direct marketing at any time;
- Data portability, for data you've given us that we process automatically under a contract or your consent;
- Withdraw consent at any time, where we rely on consent (this doesn't affect anything we did before you withdrew it).
To exercise any of these rights, contact us at hello@irishtaxmate.ie. We aim to respond within one month. You also have the right to complain to the Irish Data Protection Commission (www.dataprotection.ie) if you believe we haven't handled your data properly.
10. Cookies

11. Changes to This Notice
We may update this notice from time to time. We'll update the "Last updated" date at the top of this page, and where a change is material we'll take reasonable steps to let clients with an active engagement know.
